Meeting Planner - Full-Time

This is a full-time benefited position and benefits include health/dental, retirement plans, tuition discount, and much more. Employees receive a free UTA/TRAX pass while employed at the University of Utah.

Bachelor’s degree in a related field plus one year directly related experience or equivalency required (2 years related work experience may be substituted for 1 year of education). Demonstrated ability to work independently, analyze and make decisions related to program content. Strong coordination and organizational skills required to prioritize conflicting deadlines. Demonstrated human relations and effective communication skills are also required.

Develops client relations, orally and written. Establishes client needs, recommends site location, equipment, advertising, staffing, long and short-term goal setting, purchasing and accounting. Prepares conference contracts.  Monitors on-site progress of the conference.  Ensures the day-to-day activities and events of the conference are on schedule and properly organized.  Works to ensure meeting spaces and arrangements are set up, operational, and clean for incoming conference groups.  Maintains numerous files and records. 

Oversees daily program operations and coordinates program activities. Develops and implements program goals and objectives. Monitors program quality and effectiveness and research improvement methods. Establishes program budget; monitors and approves related expenditures and ensures budget goals are met. 

Advises staff, students and others regarding program policies, goals and related technical issues.  Prepares reports, financial statements and records on program status and progress for management and outside agencies. Writes and edits conference & group contracts/agreements. May assign, direct and review work of support staff. 

Emphasis on coordination of registration groups, to include creation, maintenance, and management of registration websites. 

Preferences:  Excellent customer service skills, strong problem-solving skills, strong attention to detail, and effective oral and written communication skills required. One year conference management experience preferred. Strong computer skills and knowledge of registration or scheduling software preferred.
