Special Events Coord./Conf. Svc. Supervisor Full-Time

Supervises the setting up of event space including stages, chairs, tables, AV equipment, etc. as required for conferences and meetings. Coordinates with Housekeeping & Maintenance to ensure all buildings are kept to maintenance and cleanliness standards. Assists manager in evaluating program effectiveness and making adjustments for future events. Greets and assists visitors in person or over the telephone. Assists in training new staff. Attends weekly staff meetings. Trouble shoots problems with computers, projectors, TV’s, and other AV equipment. Provides general support & assists guests as needed. Customer service and hotel and/or conference services experience preferred.

Department Specific Qualifications:
This position must make time management decisions that ensure all duties are completed in a time effective manner. Must be proficient in communicating in English, both orally and in writing. Excellent customer service skills, strong attention to detail, and effective oral and written communication skills required. Must be able to work without supervision & have strong problem solving & trouble-shooting experience. Must have valid driver’s license.

1. Receives, greets and directs visitors to appropriate person or office.
2. Answers telephones, providing assistance and directing customers to the correct person or office.
3. Processes and distributes mail.
4. Creates and maintains files and staff schedules.
5. Schedules appointments and arranges for meetings.
6. Answers questions about the organization and associated activities.
7. Assists with word processing, data entry and internet searches.
8. Maintains office equipment; arranges for service calls as needed.
9.  Manages and tracks part time staff training
10. Oversee and sign off on event setup and overall space appearance
A background check is required which is paid for by the department. Employees receive a free Trax/UTA pass while employed.


Customer service and hotel and/or conference services experience preferred.  Audiovisual knowledge preferred.

Minimum Qualifications: High school diploma or equivalency required. One year full-time customer service experience or equivalency, demonstrated human relation and effective communication skills also required.
